Administrative Associate

Job Description:

Summary

This position provides professional level administrative support in business activities. Responsibilities include daily office management, fiscal management, correspondence and support to the Executive Director and NAHN officers, Board of Directors, and general membership. Correspondence includes using computer technology, including the ability to use specialized software packages such as spreadsheets, graphics and word processing, and database management in support of the Association’s mission.

Education and Experience Required

Prefer associate degree with 3 years related experience or high school diploma with seven years of related experience and bilingual (English/Spanish).

Knowledge, Skills, and Abilities

Possess excellent verbal and written and communication skills (prefer bi-lingual – Spanish/English). Have knowledge of computer technology, Microsoft Word, Publisher, Excel, Outlook and graphics software. Have basic knowledge of HTML. Time management skills required to meet deadlines. Possess excellent organizational, leadership, and interpersonal skills. Be able to prepare publications, reports, and business correspondence. Has the ability to handle multiple tasks.

Supervision

Work is performed under the supervision of the Executive Director.

Job Functions

1. Maintains a computerized tracking system for current and past membership

2. Prepares membership identification cards and membership rosters

3. Creates and maintains mailing lists for members, chapters, and board

4. Processes check, credit card, and online payments and file receipts accordingly

5. Assists in the creation and publishing of the monthly NAHN newsletter

6. Assists as needed in the maintenance of the NAHN website using web development languages, editors, or web application software

7. Assists in the preparation of required forms and documentation

8. Under the guidance of the Executive Director, coordinates seminars, workshops, travel arrangements, special projects, and/or events

9. Performs general duties such as typing, correspondence, filing, ordering of supplies, and faxing

10. Provides assistance as needed with NAHN financial records

11. Provides assistance as needed with research

12. Performs other tasks as assigned

Working Conditions and Physical Effort

• Work is normally performed in a typical interior/office work environment

• None or very limited physical effort required

• None or very limited exposure to physical risk
